Accounting Analyst (Part-time)

Works under the general supervision of the Budget & Contract Coordinator. Plans, organizes, and manages the operation of the payable functions such as reconciliation, preparation/distribution of invoices, stop payments, and vendor maintenance. Analyzes and reconciles accounts payable data and transactions; initiates contact with vendors, agencies, and internal offices regarding payments and develops solutions for accounts payable discrepancies. Verifies funds in the financial system including encumbered line, service center, account and contract balance. Computes and prepares check requests. Verifies information on requisitions and invoices. Maintains logs and computer files of vendor information, including payments received and due, and researches errors. Ensures payment to vendors for services and products are within contract terms. Serves as a liaison in responding to accounts payable inquiries for solution of routine payment problems or for information or interpretation from third parties, such as vendors, internal agencies, or auditors. Researches and resolves contract, purchase order and check request discrepancies. Performs a variety of routine and complex clerical accounting functions, including financial recordkeeping and reporting; processes billings, invoices, purchase orders, requisitions, checks, check requests, payments, and/or deposits. Oversees daily revenue deposits. Maintains and makes requested changes to petty cash accounts. Trains HR Finance Liaisons on various administrative duties. Assists management with developing process maps/flowcharting and other finance related procedures. Creates and prepares a variety of correspondence, memoranda, spreadsheets and reports by utilizing various computer applications. Interacts and communicates verbally and in writing with management, and other staff members on a variety of issues and concerns. Provides clerical/administrative support to the Budget & Contract Coordinator. Processes financial documents in compliance with established policies and procedures.

Works under the general supervision of the Senior Manager of Human Resources Information Systems to analyze and resolve basic information systems needs and issues for Human Resources and provides support in effective implementation and utilization of HRIS components. Responds to, tracks, and reports regularly on assigned HRIS System requests within the division and from other divisions relating specifically to HR systems. Resolves basic data issues if possible and supports Information Services Division staff in resolving technical/programming issues. Provides support on assigned projects for HRMS maintenance and enhancement including tracking progress of development, testing and implementation and reporting status as needed. Solicits feedback, identifies, coordinates, and tracks/reports overall IS divisional needs and HRIS maintenance/ enhancement needs. Prepares and distributes timely and appropriate communications to system users. Serves as a support resource for input into the HRMS system. Provides input into processes to respond to data and information requests from internal and external requestors including use of databases, spreadsheets, etc. Supports on-going data maintenance projects such as the HRIS citywide position/ supervisory hierarchies. Researches and develops pre-defined operational flowcharts and organizational charts as needed. Supports in-house HRIS training programs to end-users. Develops and maintains up-to-date end user training manuals, and other HRIS functional departmental documentation. Assists owners of HRIS modules in creating and updating policies and standard operating procedures. Participates in and supports the testing of new processes, reports, etc. and provides testing results to appropriate resources in collaboration with the owners of HRIS modules. Gathers data and reports on HR division hardware inventory as assigned.
