RECEPTIONIST – NORTH CENTER

JOB DESCRIPTION

POSITION DESCRIPTION:                                           

Receptionist

STATUS: Full-Time

HOURS: 40 Hours per week

COMPENSATION:  $9.50 per hour

General Purpose of Position:

Operate multi-line telephone system to answer incoming calls; directs callers to appropriate personnel by performing the following duties; completes a variety of administrative duties.

Responsibilities:

  • Retrieve messages from voice mail and forwards to appropriate personnel
  • Answer incoming telephone calls, determine purpose of calls, and forward calls to appropriate personnel or department
  • Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable
  • Answer questions about organization and provides callers with address, directions, and other necessary information
  • Welcome on-site visitors, determines nature of business, and announces visitors to appropriate personnel; properly distribute and manage necessary forms for needed services
  • Monitor visitor access and issue passes when required
  • Accurately input visitor and volunteer data into E-tapestry database
  • Maintain fax machine, assist users, send faxes, and retrieve and route incoming faxes
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents
  • Perform other clerical duties such as filing, photocopying, and collating
  • Exhibit pleasant demeanor with visitors, donors and neighbors as well as staff

Qualifications and Aptitudes:

  • High School Diploma required, 1-2 years of college preferred
  • Communicate and interacts well with children, adults and those in extreme need
  • Ability to understand multi-step written and oral procedures/instructions
  • Adherence to NCC policies/procedures, including safety practices
  • Desire to work in urban ministry preferred
  • Ability to operate standard office equipment: multi-line switchboard, computer, fax, copier, etc
  • Must have strong written and verbal communication skills
  • Ability to demonstrate knowledge and use of MS Office Suite (WORD, Excel, PowerPoint, Outlook)
  • Interest in and the ability to articulate the NCC Statement of Faith, Mission and Values

 Work Conditions

  • Ability to sit behind a desk 95% of the time (which may be considered excessive sitting)
  • Ability to lift up to 15 lbs.

JOB SUMMARY  The clerical specialist will be responsible for clerical support for staff and program participants.  Essential duties include, but are not limited to, computer operations, photocopying, filing, mailing correspondence, data entry, maintaining supplies in orderly manner, and other duties as assigned by the management staff.  Duties are performed in an office environment.    The clerk will work a flexible schedule based on the needs of the organization.

JOB REQUIREMENTS AND QUALIFICATIONS

Education:          High School Diploma or GED

Experience:        At least one year working in an office environment as a clerical specialist; demonstrated experience working with youth is a plus.

Knowledge/Skills/Abilities:

  • Working Knowledge of Microsoft Office 10 (Word, Excel), windows-based computer software applications and the ability to master other software programs as appropriate.
  • Ability to accurately type a minimum of 35 correct words per minute.
  • Effective oral communication skills.  Clear speaking voice in the English language.
  • Ability to maintain good working relationships with staff and customers.
  • Ability to work with youth.

Physical Requirements:

  • Ability to stand/walk/bend for extended periods of time.
  • Ability to lift up to 25 pounds.

Other Requirements:

  • Ability to drive (access to operable automobile with minimum state-mandated insurance).

Position Overview

The Friends For Life Corporation Clinical Services Liaison will greet visitors/telephone callers pleasantly & professionally and to convey a feeling of warmth, respect & understanding.  Will occasionally be required to type reports and letters, make copies, and perform other administrative and clerical duties as assigned.

 

Essential Job Functions

Greet visitors, clients, and vendors to the agency and direct them to the appropriate staff person.  Answer the telephone and direct callers to the appropriate staff person, or take messages when necessary.  Maintain consumer files.  Develop appointment system, and set appointments for various programs.  Develop and maintain appropriate database systems (tracking, appointments, etc.).  Develop and maintain client referral system. Monitor IT support Desk and coordinate with IT vendor.

 

Non-essential Job Functions

Place telephone calls when directed to do so.  Type reports, letters, and forms and address envelopes, and make copies when necessary.  Use the postage meter and fax machine when needed.  Receive in-kind donations to the agency and record all gifts.  Accept donations and disperse donation receipts.  Assist with typing articles for the newsletter.  Provide clerical and administrative support to various program areas as directed and needed.  Maintain staff directory and phone extension list.  Other duties as assigned.

 

Requirements

High School Diploma with some office and business emphasis, or possess demonstrated experience in a similar manner.  Database development and management required.  Must have IT problem solving skills.  Must possess good interpersonal and communications skills, with emphasis on telephone courtesy.  Ability to greet visitors, clients, and vendors to the agency with courtesy, professionalism, and tact.  Must be sensitive to the culturally and racially diverse nature of clients and visitors to FFL.  Must be able to interact with everyone in a friendly, helpful manner.  Must possess basic PC skills.  MS Word, MS Excel, along with typing skills.  Must understand the confidential nature of all reports, messages, and clients that he/she comes in contact with respects that privacy at all times, both at work and away from work.  Two years’ experience working with persons with HIV/AIDS preferred.  Regular and predictable attendance is necessary.  Maintain confidential information and adhere to all policies and procedures regarding Protected Health Information(PHI).

Other Skills/Abilities

The ability to work well in a fast pace environment.  The ability and desire to work in a team environment.

 

Physical Demands

Extended periods of standing and sitting.  The ability to lift 20 -25 lbs as needed.
