Program Coordinator – Family Rewards/Children’s Aid Society

The Family Rewards Program is seeking a Program Coordinator for its Memphis TN
operations.   Family Rewards is an innovative program located in New York City
and Memphis, TN.  The program is based on an international model designed to
help break the cycle of inter-generational poverty through the delivery of cash
incentives and individualized guidance.  The Program Coordinator will provide
program coordination, technical assistance and office management
support.

Responsibilities include:
-Prepare reports and data tracking
to document program progress -Develop marketing and training materials,
including letters, presentation materials, participation guides, monthly
statements, and flyers to engage program families and encourage participation
-Provide technical assistance to implementation sites -Assist the Program
Associate to establish a referral network for program participants -Coordinate
mass mailings, phone, text messages, and email campaigns to communicate with
program participants and various partner agencies -Provide administrative and
invoicing process support to Memphis staff -Coordinate banking paperwork with
Memphis sites and NY staff

Requirements:
-Strong quantitative and
analytical/problem-solving skills -Excellent computer skills, particularly MS
Office (Excel, Word, Power Point, Publisher, and Visio), with a general
understanding of web applications -Exposure and familiarity with MIS systems and
data tracking technology; experience with Salesforce CRM preferred but not
required -Must be highly organized, extremely detail oriented, and able to
develop administrative protocols to track expenses and program activity -Strong
communication skills, written and verbal, with an ability to communicate complex
policies to partners and staff

Job Description

Program Coordinator                     Position: FT

The Program Coordinator is responsible for coordinating operational facets of the DeNeuville Learning Center’s (DLC) services to women and children to ensure that the mission of DLC is accomplished.

Responsible to: Executive Director

Duties:

  • Registers  women for the services they request, confers with instructors, prepares      class schedules, update them as necessary throughout the year

 

  • Develops and facilitate training for instructors, staff and volunteers

 

  • Maintains databases

 

  • Develops  and implement classes for the community in general
  • Notes maintenance needs and communicates with Executive director
  • Prepares or assists in preparation of proposal for funding and/or funding continuation from outside sponsors, assist in meeting with individuals to seek  donations, and assist with program fundraising events
  • Confers with  staff, volunteers, students and others to provide problem solving      assistance, answers to questions relate to daily activities and refers to      appropriate person when unable to respond.
  • Coordinates activities of the program with inter-related activities and events, staff      and volunteers to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
  • Prepares   periodic reports on program activities, progress, status or other special  reports as requested by the Executive Director
  • Assist with  periodic program evaluations and recommends appropriate actions
  • Recruits program  participants and volunteers utilizing most appropriate promotional or   marketing methods, such as individual letters, brochures or presentations at meetings.
  • Develops and   writes communications and promotional literature for distribution such as      newsletters, brochures or flyers; coordinates process from writing through printing and distribution.
  • Develops and facilitates workshops, meetings or conferences; coordinates logistics,      scheduling and participant communications.
  • Interacts and maintains liaison with students, faculty, staff and outside/community      agencies in facilitating program objectives.
  • Works side by side with Executive Director

  • Knowledge of   Adult Education
  • Computer/software   skills
  • Skill in  organizing work of self and others.
  • Skill  in both verbal and written communication.

 

  • Interpersonal   skills and ability to work with people from different cultures and backgrounds effectively

Minimum Qualifications:

Bachelor’s degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Job Title – Learning Support Specialist (School-Age/Teenage Academies)

Location:                Knowledge Quest Administrative Office in Memphis, TN, located at 590 Jennette Place

Status:                    Part-Time, Exempt Position

Reports to:             Program Coordinator

 

TERMS OF EMPLOYMENT:   Grant contingent.

TYPICAL WEEK:  2 – 6 pm Monday – Friday; some Saturdays will be required; time spent planning, coordinating activities; and providing direct service to youth.

JOB SUMMARY: The primary focus of the specialists is to collaborate with Learning Facilitators to ensure opportunities for differentiated intellectual and character development activities and to provide individualized learning support for students when necessary. The student/facilitator ratio is 1 to 18 and is distributed by grade levels; there is a Learning Support Specialist assisting facilitators for grades Pre-K through 12 that provide support youth development, educational enrichment and recreational activities. Supervision is not a responsibility of this class. Does related work as required.

 ESSENTIAL FUNCTIONS:  Duties and responsibilities include, but are not limited to:

  • Co-facilitating in      classrooms in the areas of Language      Arts, Mathematics, Science and Social Studies and       implement and coordinate the intellectual and character development      activities and support programs of Knowledge Quest School-Age Academy
  • Assist with student      support through individualized work as part of mainstream activities and      pull-out services based on students’ needs
  • Support maintenance of  records related to program activities
  •     Attends meetings, workshops and trainings as required
  • Support the monitoring and supervision of program participants by      maintaining order and ensuring safety
  • Fulfill other duties and responsibilities as assigned

MINIMUM QUALIFICATIONS: High school and experience (five years) in at-risk youth population/youth affairs are required.  . Current college enrollment as a junior/senior is with a major in social work, psychology, education, or a related field is acceptable with professional and/or life experience (two years) of at-risk youth population/youth affairs activities.  Usage of Microsoft Office is required.

 PREFERRED SKILLS AND ABILITIES:

JOB SUMMARY:  Partnering with the executive director, the development coordinator creates , implements, and manages the short- and long-term resource development strategy of the organization. Responsible for daily activities in support of a non-profit organization’s development/volunteer programs. Maintains donor/volunteer records, solicits and acknowledges donations, and prepares advertisements or correspondence regarding the organization and its programs. May arrange and attend meetings with donors and prospective donors.

ESSENTIAL FUNCTIONS:  Duties and responsibilities include, but are not limited to:

• Assist in researching grant opportunities

• Assist in drafting grant proposals

• Maintain calendar of due dates of grant progress and final reports

• Draft grant progress and final reports

• Assist in drafting letters of support for grant proposals, and reaching out to appropriate parties to obtain said letters

• Maintain database of donors, and Outlook e-mail database of contributors and local stakeholders

• Compose fundraising letters with Knowledge Quest materials during fundraising drives, package and mail them out.

• Assist in the writing and designing of brochures, flyers and pamphlets for the organization

• Assist in the organizing, planning and convening of fundraising and community events

• Write and upload website content

• Fulfill other duties and responsibilities as assigned

MINIMUM QUALIFICATIONS: 

Applicants should have a commitment to social and/or environmental justice. A BA degree in English, Journalism, Creative Writing or a related field is required. Previous combined experience (approx. 5 years) in fundraising, marketing/public relations in the nonprofit field is preferred. This individual must have excellent writing, analytical, and verbal communication skills. Experience with fundraising software and with website content management systems is a plus. Ability to work in a team setting and willingness to work a flexible schedule with minimum supervision is also required. Occasional participation in evening and weekend community events would also be expected. Proficient usage of Microsoft Office and reasonable knowledge in the use of computer database systems are desired.
