This individual is responsible for the initial image PSI conveys to the outside world.  This individual is responsible for conveying PSI’s warmth and professionalism consistently with every caller and individual they interact with either over the phone or in person.  This individual is responsible for ensuring that each caller is able to quickly reach the individual they are seeking or will locate another team member knowledgeable to respond to the caller’s query or issues.  This individual will also offer project and administrative support to the team as necessary

Essential Duties and Responsibilities:

  •  Answer phones by no later than the third ring
  • Greet individuals with warmth and professionalism stating they have reached PSI and inquiring as to how PSI can help them
  • Greet each caller and visitor with warmth and interact with each caller on a personal level as individuals are identified
  • Seek out a personal interest of each caller to interact on a personal level with each call.  They should understand PSI is interested in building relationships with every team member at the organization.
  • Immediately forward calls to the party they are seeking or locate another
  • Become very familiar with knowledge levels and responsibilities in the organization to ensure calls are handled effectively
  • Ensure the party to which the call was transferred picks up the call in a timely manner or pull the call back.  Offer the caller options if the intended party is not able to pick up the call in a timely manner. The caller should never wait more than 30 seconds without some type of personal interface with a PSI team member. 
  • Obtain clear priorities and instructions to support staff and other teams in projects given
  • Seek out projects in which to offer support
  • Complete projects according to the dates and deadlines given or inform project lead of any conflicts immediately to allow projects to be completed on a timely basis by another party
  • Process and sort mail for immediate delivery to each department
  • Alert PSI team members for priority or any other packages received by a courier. 
  • Ensure office area and reception area, conference rooms, kitchen facilities and equipment are clean, in good working order and are picked up at all times in keeping with the company’s professional image
  • Report any issues with building cleanliness or equipment functionality to management
  • Become extremely familiar with client and potential client names, company affiliations and which Account Executive or Business Development individual is responsible for the account.  Be able to identify the contact immediately by voice or name and their affiliations.
  • Become familiar with services offered and ensure the caller’s in-depth inquiries are handled by the appropriate person.
  • Be aware of the music and call messages that the phone is giving to outside callers to ensure consistency with PSI image.  Evaluate yearly for changes.
  • Ensure messaging and routing is working properly after any power or phone outage.  Report any issues immediately to PSI and manage to completion
  • Handle the scheduling of conference calls whether or not the conference calls are established through the internal phone systems or handled by an outside third party (i.e. AT&T)
  • Become the expert and manager of office view from a user level.  Communicate to and train users to use in/out boards and attendance systems effectively to ensure the PSI Team can effectively communicate with outside callers and visitors as to which individuals are available to support them.
  • Become familiar with the conference room presentation and phone equipment enough to offer first level of support to PSI team members.
  • Monitor security cameras and report any issues immediately to PSI Management.
  • Become knowledgeable and proficient in Microsoft Word, Excel and PowerPoint to support PSI team projects. 
  • Carry out clerical support (i.e. word processing, spreadsheet development, filing, copying, and printing) in support of team members.
  • Process UPS or other incoming courier shipments.  Compare packages received in Bill of Lading and packing slips.  Note discrepancies or give approval upon verification via signature.  Ensure BOLs and packing slips are turned over to the Accounting team upon receipt.
  • Support in the maintenance, organization and cleanliness of the facility

Position Overview

The Friends For Life Corporation Clinical Services Liaison will greet visitors/telephone callers pleasantly & professionally and to convey a feeling of warmth, respect & understanding.  Will occasionally be required to type reports and letters, make copies, and perform other administrative and clerical duties as assigned.

 

Essential Job Functions

Greet visitors, clients, and vendors to the agency and direct them to the appropriate staff person.  Answer the telephone and direct callers to the appropriate staff person, or take messages when necessary.  Maintain consumer files.  Develop appointment system, and set appointments for various programs.  Develop and maintain appropriate database systems (tracking, appointments, etc.).  Develop and maintain client referral system. Monitor IT support Desk and coordinate with IT vendor.

 

Non-essential Job Functions

Place telephone calls when directed to do so.  Type reports, letters, and forms and address envelopes, and make copies when necessary.  Use the postage meter and fax machine when needed.  Receive in-kind donations to the agency and record all gifts.  Accept donations and disperse donation receipts.  Assist with typing articles for the newsletter.  Provide clerical and administrative support to various program areas as directed and needed.  Maintain staff directory and phone extension list.  Other duties as assigned.

 

Requirements
